Administrative Assistant to the College of Business

Harris-Stowe State University is a historically Black institution (HBCU) located in the heart of vibrant mid-town St. Louis, Missouri.  Harris-Stowe’s beautiful campus is minutes from the renowned Gateway Arch, St. Louis Zoo, St. Louis Art and History Museums, Forest Park and other cultural and educational institutions.  Harris-Stowe’s diverse faculty and staff provide a wide range of academic programs to one of the most culturally diverse student bodies in the St. Louis region.

The School of Business is searching for a highly energetic, team player, detail oriented individual with strong interpersonal and extra ordinary customer service skills.  The successful candidate should have an outstanding proficiency in English language, computer and office correspondence skills.

Duties & Responsibilities:  

  • Coordinate Office Operation
  • Demonstrate excellent communication and customer relations skills
  • Order supplies
  • Process contracts for adjunct faculty
  • Travel arrangement for faculty and staff
  • Budgeting and bookkeeping
  • Maintain an accurate database of students  and personnel records
  • Keep  records of projects
  • Schedule meetings
  • Meet deadlines in submitting required documents

Education & Experience Requirements: 

  • Bachelor’s degree in business or closely related discipline from an accredited university
  • Minimum of five (5) years of administrative assistant experience working with students, faculty and staff in an academic environment
  • Strong organizational and record keeping skills
  • Proficient in English language and office correspondence skills 
  • Strong interpersonal skills; detail oriented
  • Proficient in use of accelerated Excel and Microsoft Office Word
  • Must work as a member of the business school team, flexible schedule which may require some evening/weekend work

Other Skills & Abilities: 

  • Type a minimum of 45 wpm with great attention to detail 
  • Excellent knowledge and understanding of relational databases and information systems
  • Excellent interpersonal and written communications skills
  • Excellent organizational skills
  • Maintain confidentiality
  • Knowledge of English, grammar, punctuation and correspondence forms
  • Proficient with Microsoft Word, Office and Excel
  • Experience with mail merge
  • Experience with on-line search

  • Attention to detail; The ability to have selective, sustained and undivided attention while working
  • Team player; The ability to maintain high energy levels and be alert while doing repetitive work
  • Professionally represent the university/department
  • The ability to have high level of reading, writing and understanding of  English language
  • Attention to details; The ability to remember procedures and steps required for the job function
  • The ability to use both hands, wrists and all fingers for long periods of time; as well as, sit and/or stand for long periods of time.
  • High analytical skills; The ability to analyze data, apply data entry strategies and practice reasoning.         

Number of Hours per Week:     

  • 40+ (Monday – Friday, 8:00AM – 5:00PM)
  • With possible evening  and weekend hours
